Sharing a Project with Collaborators

Collaboration is at the heart of most museum and cultural institution projects. Whether you're working with a content strategist on an interactive gallery exhibit, coordinating with a designer on a digital signage display, or getting sign-off from an education team on a school program experience, Zibit makes it easy to bring the right people in at the right time. The Share modal gives you full control over who can view or edit your project, and you can update access at any point as your team changes.

Inviting Collaborators to a Project

From the My Projects dashboard, each project card has its own actions menu. To invite someone to collaborate, find the project you want to share and click the "Project actions" button (the three-dot menu) on its card. This opens a set of options including sharing and collaboration settings.

You can also click the collaborator icon on any card to jump straight to the sharing panel — it shows you at a glance whether a project is shared with others or just you. Don't worry, you can update collaborator permissions or remove people at any time.

Inviting Collaborators to a Project

On the My Projects dashboard, every project card has a quick-access collaborator button — look for the avatar icon that shows either a collaborator count (like "3 collaborators") or "Just you" if you're working solo. Click it to open the sharing modal, where you can invite colleagues by email and manage their access levels.

You can also reach the same sharing modal through the Project actions menu (the three-dot overflow menu on each card). Just open that menu and choose "Invite or manage collaborators". Any changes you make to sharing can be updated at any time, so don't worry about getting it perfect on the first try.

Sharing Your Project with People and Teams

The Share modal lets you invite collaborators to your project and review who already has access. Use the Search people field to find someone by name or email, then choose their role — Editor or Admin — before sending the invite. This is great for looping in a curator, AV technician, or a colleague who needs to review the experience.

The modal is split into two sections: People with access and Teams with access. You can switch between them using the People and Teams tabs. Anyone listed here can be removed at any time using the remove option next to their name, so there's no pressure to get it perfect on the first try.

Add People to Your Project

The Share dialog lets you invite colleagues from your organization to collaborate on a project. Type a name or email address into the Search people field — Zibit will search your organization's members and show matching results you can select.

Once you add someone, choose their permission level — Editor to let them make changes, or Admin to give them full control. Don't worry, you can adjust or remove collaborators at any time.

Managing Who Has Access

The "Share" dialog shows everyone currently on the project under "People with access" and "Teams with access". For each collaborator, you can switch their role between "Editor" and "Admin" using the role buttons next to their name — or remove them from the project entirely by clicking the remove button alongside their entry.

Use the "People" and "Teams" tabs to switch between individual collaborators and team-level access. Any changes take effect immediately, but you can always come back here to adjust roles or add people back. When you're done, click "Close" to dismiss the dialog.

You're all set to collaborate. Once your team is in place, everyone with edit access can work on moments, components, and flows — so you can move faster and build better experiences together. Here are a few great next steps to keep the momentum going:

  • Organize your moments by flow — Now that your team is onboard, divide ownership of different flows so collaborators can work in parallel without stepping on each other's work.
  • Set up a style set — Share a consistent look and feel across your project by creating a style set that all collaborators can apply to their moments and components.
  • Link a collection — If your exhibit pulls from a shared data set (like artifact metadata or event listings), connect a collection so your whole team is working from the same source.
  • Review display settings together — Make sure everyone knows which displays are in scope for the project so moments are designed at the right resolution from the start.
  • Revisit access as your project evolves — It's easy to update roles or remove collaborators at any time from the Share modal, so your access list always reflects your current team.
