Uploading and Managing Project Files

Who this is for:FreeBasicProOrganization

Every great museum exhibit or digital signage experience is built on a foundation of well-organized media. Whether you're pulling together images for an interactive gallery wall, videos for a visitor welcome screen, or audio for an educational kiosk, your project's file manager is where all of that content lives. Keeping your library tidy means less time hunting for assets and more time crafting moments that engage your audience.

Managing Your Project Files

The file manager is your project's media library — everything you upload lives here as a browsable card grid. Use the "Search files" field to find assets by name, or click "All types" to filter by file type (images, videos, documents, and more).

To add new assets, click "Upload file" in the top right. Once uploaded, files are available to attach to any component across your moments. Don't worry — uploading a file here doesn't place it anywhere automatically, so you're free to explore before committing to a layout.

Uploading Files to Your Project Library

Your project library is where you store all the media your moments can use — images for exhibit panels, videos for interactive displays, audio for guided tours, and documents for reference. To add something new, click "Upload file" near the top of the screen.

Once uploaded, your files appear in the library and are ready to be added as components to any moment in your project. You can upload more files at any time, and the "All types" filter helps you find what you need as your library grows.

Finding Assets in Your Library

When your file library grows, you can quickly track down what you need using the search bar and file type filter. Click the Search files field and type any part of the file name — Zibit narrows the results as you type.

To filter by format, click All types and select a category such as images, videos, or audio. This is handy when you're building a museum exhibit and need to browse only your video assets, or quickly locate a specific logo without scrolling through everything else. You can clear or change your filters at any time.

Manage Your Files

Each file in your library has its own File actions menu — look for the menu icon on any file card. From there, you can Edit metadata to update a file's name or description, or Delete files you no longer need to keep your library tidy.

Don't worry if you're unsure — deleting a file only removes it from your library, and you can always Upload file again if you change your mind. It's a good habit to keep your file names descriptive so they're easy to find when you're building moments later.

You now have everything you need to keep your project's file library organized and working for you. A well-managed library makes it faster to build new moments, swap out content for seasonal updates, and collaborate with your team without confusion. Here are a few great ways to keep building on what you've learned:

  • Link files to a collection — Connect structured data sets to your project so images and media can be pulled in dynamically, perfect for rotating exhibit content.
  • Add files directly from the canvas — When you're editing a moment, you can upload and assign media to a component without leaving the editor.
  • Create a naming convention — Establish a consistent file naming pattern (for example, exhibit-hall-a_panel-03.jpg) to make searching and filtering even faster as your library grows.
  • Audit your library before publishing — Review unused files periodically to keep your project lean and your load times fast.
  • Reuse assets across moments — Once a file is in your library, any moment in the project can reference it — no need to upload the same image twice.
